Privacy Policy — Samantha Automations

Samantha Automations is a set of private, internal software tools built and operated by Eddie Wang, director of Auckland Airport Motel and Middlemore Motel (two independently operated motel businesses in Auckland, New Zealand). These tools automate routine day-to-day business tasks — reading and organizing incoming email, drafting replies for staff review, and archiving daily reports — so the businesses run more smoothly.

This is not a consumer product. It is not offered to the public, has no other users besides the business owner and his own automated tools, and is not used to collect, sell, or share data about any third party for advertising or any other purpose.

What data this accesses

Samantha Automations connects to one Google Account (samantha.aklai@gmail.com), which the business owner set up specifically to run these internal tools. It requests the following permissions from that account only:

- gmail.readonly — reads incoming email in this account, to identify daily business reports and internal notifications.

- gmail.send — sends email from this same account, limited to internal business notifications (e.g. forwarding a report, alerting staff to something needing attention).

- gmail.compose — creates draft replies and new draft emails in this account for staff to review and send themselves; never sends automatically.

- drive.file — a narrow Google Drive permission that only allows access to files this application itself creates. It cannot see, read, or modify any other file in the account's Drive.

How this data is used

- Identifying and archiving daily operational reports (occupancy and revenue reports for the motel businesses) to a private Google Drive folder, as a backup independent of any single computer.

- Forwarding time-sensitive internal notifications (e.g. a missed phone call, a same-night booking) to a specific staff member who assists after hours.

- Reading and organizing this inbox so the business owner can review a summary of activity.

- Drafting reply and recap emails for staff to review before sending — nothing is sent without human review.

What this data is not used for

- Not sold, rented, or shared with any third party.

- Not used for advertising, profiling, or any purpose unrelated to running these two motel businesses.

- Not accessed by anyone other than the business owner and the automated scripts he has written and controls directly.

Data retention

Email and files are retained only as long as needed for the internal automations described above, within the connected Google Account and its own Drive storage. The business owner can revoke this application's access at any time from his Google Account's own security settings, which immediately stops all access.
